The Space Studios ("The Space," "we," "us," or "our") is operated by Space LLC. We respect your privacy and are committed to being transparent about how we collect, use, disclose, and protect your personal information.
This Privacy Policy describes our privacy practices when you visit our website, create an account, use our mobile booking services, visit our studio, purchase or use our services, participate in classes, workshops, events, retreats, teacher trainings, wellness services, surveys, or promotions, communicate with us, or otherwise interact with The Space Studios.
1. Information We Collect
Depending on how you interact with The Space, we may collect the following categories of personal information.

Parent or legal guardian information, when applicable
Booking, Membership, and Transaction Information
We may collect information regarding classes and appointments you book or attend; memberships and class packages; workshops, events, and retreats; teacher trainings; wellness services; gift cards; merchandise and other purchases; account credits; cancellations and attendance history; and communications and notes related to your account.
Our primary client management and booking platform is Mindbody.
Payment Information
Payments may be processed through third-party payment providers, including Mindbody and Stripe. Payment credentials are securely maintained by our payment providers. The Space Studios staff generally have access only to limited payment information — such as card type and the last four digits — rather than your complete payment card number.
Wellness and Health-Related Information
When reasonably necessary to provide certain wellness services or to help you participate safely, we may ask you to voluntarily provide information regarding your health or physical condition, including:
Injuries
Physical limitations
Pregnancy
Medical conditions
Medications
Health history
Contraindications
Information relevant to massage, assisted stretching, sauna, cold plunge, somatic work, acupuncture, breathwork, yoga, or other wellness services
Certain practitioner intake forms or treatment information may be maintained on paper in practitioner treatment areas and are accessible only to the practitioner responsible for the applicable service.
Collection of health-related information by The Space does not necessarily mean the information is governed by the federal Health Insurance Portability and Accountability Act ("HIPAA"). Where another privacy or confidentiality law applies to particular information or a particular practitioner, that information will be handled in accordance with applicable law.
Forms, Applications, and Communications
We may collect information you voluntarily provide through contact forms, newsletter registrations, retreat applications and waitlists, teacher training applications, workshop registrations, surveys, giveaways and promotions, Google Forms, email, customer service communications, and employment inquiries or applications.
Retreat Information
If you register for or participate in a retreat, we may collect additional information necessary to coordinate your experience, including emergency contact information, dietary preferences or restrictions, relevant health or medical information, travel information, room preferences, waivers and releases, and other information you voluntarily provide in connection with the retreat.
Photographs and Video
The Space may photograph or record classes, workshops, events, retreats, or other studio activities for promotional, educational, social media, website, advertising, or other business purposes. When photography or recording occurs during a regular class or event, we may notify participants and request consent before recording. Certain designated photo or video sessions may require a written release. If you do not wish to appear in photographs or recordings, please notify a staff member when photography or recording is announced.
Security Camera Information
We use security cameras in certain public and common areas of our studio for security, safety, loss prevention, and operational purposes. Security cameras are not placed in bathrooms, changing areas, private treatment spaces, or other areas where individuals would reasonably expect privacy, and our cameras do not record audio.
Website and Device Information
When you visit our website or interact with our online services, we may automatically collect information such as your IP address, browser and device information, pages viewed, referring website, date and time of visits, website interactions, cookie and similar technology identifiers, general location information derived from your IP address, and advertising and analytics information.
2. Cookies, Analytics, and Advertising
Our website is hosted through Squarespace and uses cookies and similar technologies to operate the website, understand website usage, improve our services, measure marketing effectiveness, and support advertising.
We may use services including Google Analytics, Google Ads, Squarespace analytics, and integrations with social media platforms such as Instagram and Facebook. These providers may use cookies, pixels, device identifiers, or similar technologies to collect information about your interaction with our website. Depending on our settings and the services in use, some providers may collect information regarding your activity across websites or online services over time.
You can manage certain cookies through your browser settings and, where available, through website cookie controls. Disabling cookies may affect certain website functionality.
3. Do Not Track and Online Tracking
Some web browsers allow users to transmit a "Do Not Track" ("DNT") signal. Because there is no universally accepted standard governing how websites should respond to DNT signals, our website may not respond to traditional browser DNT signals.
Third-party analytics, advertising, social media, and technology providers may collect information about your online activity over time and across different websites or online services, subject to their own privacy practices and the technologies enabled on our website. Where required by applicable law, we will honor legally recognized privacy preference signals.

5. Email and Text Communications
We may send transactional or service-related communications regarding your account, bookings, purchases, appointments, memberships, events, or other services.
If you separately opt in to marketing communications, we may also send promotional emails or text messages regarding The Space Studios, including classes, memberships, events, workshops, retreats, promotions, and other offerings. Marketing text-message consent is optional and is not required as a condition of purchasing goods or services from The Space Studios.
You may unsubscribe from marketing emails using the instructions contained in the communication, and you may opt out of promotional text messages using the instructions provided in the applicable message, such as replying STOP where supported. Opting out of marketing communications does not necessarily prevent us from sending non-marketing communications reasonably necessary to administer your account, purchases, reservations, or services.
We currently use third-party communication and customer relationship management providers, which may include Mindbody, LoyalSnap, and Attentive.
6. When We Disclose Personal Information
We do not sell personal information for monetary compensation.
We may disclose personal information to service providers and other third parties when reasonably necessary to operate our business or provide services you request, including:
Mindbody — booking, client management, payments, and account services
Stripe — payment processing
Squarespace — website hosting and related services
Google — analytics, advertising, forms, documents, spreadsheets, and cloud-based services
LoyalSnap — customer relationship management, communications, and marketing
Attentive — communications and marketing while we continue to use its services
The Sales Arm — sales outreach through our LoyalSnap customer relationship management system
Meta platforms, including Instagram and Facebook — social media and website integrations
Slack and other business communication or operational providers
Professional advisers and technology providers, when reasonably necessary for business operations
These providers may receive personal information to the extent reasonably necessary to perform services on our behalf.
7. Retreats and Travel Partners
When you participate in a retreat, certain information may be shared with organizations that help us plan, coordinate, or operate the retreat, including Shared Journeys and other retreat venues, accommodations, transportation providers, facilitators, or vendors, when reasonably necessary to provide the retreat experience.
We seek to limit the information disclosed to what is reasonably necessary for the applicable service. In some situations, you may be asked to provide information directly to a retreat provider or other third party. Third parties receiving information directly from you may maintain that information in accordance with their own privacy policies.
8. Sales and Marketing Support
We use LoyalSnap as part of our customer relationship management and communications operations. Information from Mindbody, such as contact information and information relating to client activity or purchases, may be made available through LoyalSnap for customer communication, marketing, and sales purposes.
The Sales Arm assists The Space with sales outreach and may access client information through our customer relationship management system to contact prospective or current clients on our behalf. We do not authorize these providers to sell personal information for their independent purposes.
9. Children and Minors
The Space offers certain services to minors with parent or legal guardian involvement and consent. Clients under 18 must have a parent or legal guardian provide the required consent and sign applicable waivers.
We do not knowingly seek marketing consent directly from children under 13. For children under 13, online collection of personal information may be subject to additional requirements under the Children's Online Privacy Protection Act ("COPPA"). Where COPPA applies, we will seek verifiable parental consent before knowingly collecting personal information online directly from a child under 13, unless an exception permitted by law applies.

10. Data Retention
We retain personal information for as long as reasonably necessary to provide our services, maintain client accounts and transaction records, fulfill the purposes described in this Privacy Policy, maintain appropriate business, tax, financial, and legal records, resolve disputes, enforce agreements, comply with legal requirements, and protect our business and clients.
Different categories of information may be retained for different periods. When information is no longer reasonably necessary for the purposes for which it was collected, we may delete, destroy, anonymize, or otherwise securely dispose of it, subject to applicable legal and operational requirements.
11. Information Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, or misuse. Our third-party platforms and payment providers maintain their own security practices and safeguards. Paper wellness information maintained by individual practitioners is kept within practitioner treatment areas, with access limited to the applicable practitioner.
No method of electronic transmission, storage, or physical recordkeeping can be guaranteed to be completely secure. Accordingly, we cannot guarantee absolute security of personal information.

The Space Studios is operated by Space LLC and is located in California. California law provides certain privacy rights and protections depending on the nature and size of a business and the information involved.
Based on our current business operations, Space LLC may not presently meet the statutory thresholds that trigger all provisions of the California Consumer Privacy Act ("CCPA"), as amended. Those thresholds and our business operations may change over time. Regardless, we provide the privacy request process described above and are committed to handling personal information transparently and responsibly.
Nothing in this Privacy Policy is intended to limit any rights you may have under applicable California law.
14. Third-Party Websites and Services
Our website, emails, social media pages, or other communications may contain links to third-party websites, platforms, applications, or services. We are not responsible for the privacy practices of third parties that independently collect information from you. We encourage you to review the privacy policies of those providers before providing personal information.

We may update this Privacy Policy periodically to reflect changes in our services, technology, business practices, vendors, or legal obligations.
